Senior Officer, Annual Fund and Donor Experience

The Senior Officer, Annual Fund and Donor Experience plays a key role in strengthening Pickering College’s culture of philanthropy by ensuring that all donors are meaningfully engaged, appreciated, and inspired by the impact of their support. Reporting to the Executive Director, Development, this position is responsible for the strategy and execution of the Annual Fund, all stewardship activities, and support for donor cultivation and recognition. The Senior Officer ensures that senior staff, including the Head of School and Executive Director, Development, are well supported in managing their donor portfolios, with timely preparation, follow-up, and coordination of all stewardship and solicitation activities.
This role also serves as the central coordinating hub for the fundraising team, supporting workflow, accountability, and collaboration across Development priorities. Working closely with the Database Administrator, the Senior Officer ensures donor data and reporting are accurate, timely, and strategically applied.
Given the dynamic and collaborative nature of our school environment, this role is on-site, five days a week with some evening or weekend work as required.
RESPONSIBILITIES:
Donor Stewardship and Recognition:
- Lead the development and implementation of a comprehensive stewardship program, ensuring every donor receives timely, meaningful acknowledgment and reporting.
- Create and manage a stewardship calendar to guide donor recognition, thank-you letters, and impact updates.
- In collaboration with Engagement Staff, coordinate stewardship and cultivation events, including donor receptions and other relationship-building opportunities.
- Ensure consistency and quality in all stewardship communications and activities.
Portfolio and Relationship Management:
- Support senior staff (including the Head of School and Executive Director, Development) in managing their donor portfolios.
- Prepare briefing notes, proposals, speaking points, and background materials for donor meetings and solicitations.
- Track and prompt timely follow-up actions for stewardship, cultivation, and solicitation activities.
- Assist with the preparation of proposals, pledge documentation, and donor reports.
Annual Fund Leadership:
- Plan, execute, and evaluate the Annual Fund, including goal setting, segmentation, appeals, and timelines.
- Monitor progress and report on key performance metrics, using data insights to inform future planning.
Development Team Coordination:
- Serve as the organizational and administrative support for the fundraising team, ensuring efficient workflows and alignment of priorities.
- Partner with the Database Administrator to maintain accurate donor information, contact reports, and stewardship histories.
- Coordinate team-wide fundraising activities and support other fundraising and engagement events as required.
- Foster collaboration across the Development portfolio to ensure seamless donor experiences.
Writing and Communications:
- Draft high-quality written materials, including proposals, donor correspondence, stewardship pieces, and impact communications.
- Ensure written content reflects Pickering College’s voice, values, and commitment to excellence.
- Contribute to a donor communication strategy that emphasizes transparency, gratitude, and impact.

ACCOUNTS PAYABLE COORDINATOR

The Accounts Payable Coordinator is a key member of the Business Office team, reporting to the Accounts Payable Manager & Payroll Administrator. This role is responsible for the accurate and timely processing of vendor invoices, payments, and employee expense reimbursements while managing the full-cycle accounts payable function. The Coordinator plays an essential role in supporting internal departments, maintaining strong vendor relationships, and upholding financial accuracy and compliance.
Additional responsibilities include administering petty cash, processing re-billable items, completing annual reconciliations, and supporting year-end audits. The Accounts Payable Coordinator also serves as the primary backup to the Accounts Payable Manager.
Success in this role requires strong attention to detail, excellent organizational and communication skills, and the ability to work efficiently in a fast-paced, high-volume environment while adhering to established policies and procedures.
Key Responsibilities
- Manage the full-cycle accounts payable process, including invoice processing, coding, approvals, and timely payment of vendors
- Execute regular cheque runs and maintain accurate, organized payment records
- Reconcile monthly credit cards and vendor accounts, and manage recurring billings (e.g., utilities, catering, pharmacy)
- Administer petty cash accounts, including issuance, reconciliation, and replenishment
- Prepare re-bill documentation and support internal departments with AP-related inquiries
- Complete journal entries and reconciliations; support year-end audit activities and reporting requirements
- Support to Government reporting requirements
- Serve as backup to the Accounts Payable Manager and provide cross-functional support within the Business Office

CASUAL CUSTODIAN, Part Time, Sunday Afternoons
Reporting to the Custodian Team Lead, we are recruiting for a casual custodian to work on Sundays from 3pm-11pm. There is an opportunity to support other shifts as required. The ideal candidate should be a responsible self-starter who is able to organize, complete all tasks with minimal supervision and within given time frames, as well as be able to work independently or in a team environment. In this role, you would be responsible for janitorial tasks (with the ability to lift up to 50 pounds), event/function set-up, minor repairs and preventative maintenance and security. This role includes prorated vacation and benefits effective immediately upon hire.
QUALIFICATIONS REQUIRED:
- High School Diploma or equivalent and/or related work experience.
- Flexibility to work outside of regular scheduled hours and from time to time to cover other shifts when needed (weekends/holidays) and perform various job tasks.
- A working knowledge of modern janitorial methods and equipment.
- Ability to complete work of a physical nature including heavy lifting, walking for extended periods of time and shovelling snow.

Coordinator, Development Events

The Coordinator provides structure, coordination, and professional expertise to support successful outcomes while maintaining institutional oversight and accountability.

Hilltop Summer Discovery Camp (HSDC) Counsellor
Reports to: Manager, Auxiliary Programs
HSDC Counsellors are responsible for supervising, supporting, and engaging campers in a safe, inclusive, and positive camp environment. Counsellors help foster a sense of belonging, guide campers through daily activities, and ensure each child has a fun, meaningful, and memorable experience. This position requires strong leadership, excellent interpersonal skills, adaptability, and enthusiasm for working with children. In addition to supervision, counsellors assist with activity delivery, cabin programming, and the overall camp community.
Responsibilities
Camper Supervision & Safety
- Actively supervise campers at all times, including drop-off, pick-up, lunch, transitions, and activities.
- Ensure the health, safety, and emotional well-being of all campers.
- Manage camper behavior using positive and consistent approaches.
- Maintain a fair, respectful, and inclusive environment for all campers.
- Reinforce and model the camp code of conduct.
Program Support & Activity Engagement
- Assist instructors in delivering daily programs, projects, games, and activities.
- Design and lead creative activities, including crafts, sports, and group games.
- Support cabin time programming and help campers engage in structured, meaningful activities.
- Prepare activity materials and support setup and cleanup.
- Work effectively in outdoor environments in all weather conditions.
Community & Culture Building

Hilltop Summer Discovery Camp (HSDC) STEM & Robotics Specialist
Reports to: Manager, Auxiliary Programs
The HSDC STEM & Robotics Specialist is responsible for planning and delivering engaging, hands-on STEM and robotics programming for Hilltop Summer Discovery Camp. This role requires strong STEM knowledge, creativity, and adaptability, with the ability to lead activities in robotics, coding, engineering challenges, and digital design. Specialists guide campers of all ages through fun, inquiry-based learning experiences that build problem-solving skills, curiosity, and confidence.
In addition to their primary STEM responsibilities, the Specialist contributes to broader camp operations, including cabin group support and participation in general camp activities.
Responsibilities
Program Planning & Delivery
- Collaborate with the HSDC Director and Assistant Director to plan, prepare, and deliver STEM-focused programming.
- Lead structured robotics challenges, coding projects, engineering activities, and design-based maker sessions aligned with weekly themes.
- Prepare curriculum and daily lesson plans that actively involve and engage campers.
- Ensure all STEM tools, equipment, and workspaces are organized, safe, and ready for use.
Camper Supervision & Safety
- Actively supervise campers at all times.
- Ensure the health and safety of all campers is paramount.
- Supervise lunch groups and support general camper welfare throughout the day.
- Manage camper behavior using positive, consistent approaches.
- Ensure that all campers are treated with fairness, respect, and understanding.
- Ensure campers understand and follow the camp code of conduct.

Administrative Responsibilities
- Track daily attendance.

Qualifications

This role provides comprehensive leadership and operational oversight of the camp programming – ensuring safe, engaging, and high-quality experiences for all participants and staff. The Camp Director works closely with and reports to the Executive Director, Boarding and Health Services and collaborates across departments to manage scheduling, logistics, staffing, budget and communication with families and agents.
Key Responsibilities:
- Lead the planning, scheduling, and daily operations of the ESL, GLP and any other overnight summer programs.
- Oversee the administrative processes, including camp records, and arrival/departure logistics.
- Manage the summer program budget, track expenditures, reconcile receipts, and maintain petty cash accounts.
- Develop and manage staff schedules, ensuring adequate coverage and compliance with rest requirements.
- Coordinate airport transfers, weekend excursions and evening activities in partnership with the Associate Directors and camp staff.
- Recruit, train, schedule, and supervise summer program staff (Associate Directors, Counsellors, Counsellors and Counsellors-In-Training).
- Liaise with Facilities, Food Services, IT, Transportation and Business Office to ensure seamless daily operations.
- Collaborate with the Health Centre and camp staff to maintain adherence to all health, safety and emergency procedures.
- Communicate regularly with parents, agents, and school partners regarding camper wellbeing and program updates.
- Prepare documentation, evaluations, and reports to support continuous program improvement.
Desirable Qualifications:
- Bachelor’s Degree in Education, Recreation, or a related field.
- Minimum 3-5 years of experience in camp administration, boarding schools, or international education.
- Proven leadership in program coordination, scheduling, budgeting, and staff supervision.

The Boarding Don is an active member of the boarding team who lives on campus in the residence on a 10-month contract for the 2026/2027 school year.
RESPONSIBILITIES:
- Attend breakfast on a rotational schedule to monitor students and check residences to ensure that students are up and ready for the day.
- Work on a rotational basis to cover the residences in the evenings, overnight and weekends (including long weekends).
- Provide on call coverage to the residences.
- Live in the residence.
- Meal coverage for breakfast and dinner.

- Act as a “Family Head” for a smaller group of students within the residence.
